Terms of Service

These Terms of Service ("Terms") govern your use of VetlinkPRO AI Transcribe (the "Service"), provided by Vetlink Pro Limited ("VetlinkPRO", "we", "us"). By creating an account or using the Service, you agree to these Terms.

1. The Service

AI Transcribe records or accepts veterinary consultation audio, transcribes it, and formats the result into structured clinical (SOAP) notes for your review. It is a documentation aid built into the VetlinkPRO ecosystem.

2. Eligibility and accounts

The Service is intended for veterinary professionals and practices. You are responsible for the accuracy of your account details, for keeping your credentials secure, and for all activity that occurs under your account. Notify us promptly of any unauthorised use.

3. Subscriptions, trials and billing

  • Paid plans are billed from the day you subscribe — the first payment is taken automatically for the plan and term you selected. There is no free trial; our Free plan is available with no card required.
  • Payments are processed by VetlinkPAY. Subscriptions renew automatically each term until cancelled.
  • You may cancel at any time; cancellation takes effect at the end of the current billing period. Fees already paid are non-refundable except where required by law.
  • We may change plans and pricing on reasonable notice; changes apply from your next renewal.

4. Acceptable use

You agree not to:

  • use the Service unlawfully, or in breach of any applicable regulation or professional obligation;
  • attempt to access accounts, data or systems you are not authorised to access;
  • interfere with, overload or reverse-engineer the Service; or
  • upload content you do not have the right to process.

Consent to record. You are responsible for obtaining any consents required to record and process consultations, including from clients and staff, in line with your local laws and practice policies.

5. Clinical responsibility and disclaimer

Important. AI Transcribe produces drafts to assist documentation. It is not a diagnostic tool and does not provide veterinary advice. The treating veterinarian remains solely responsible for reviewing, correcting and approving every note before it is saved to the clinical record, and for all clinical decisions. Transcription and formatting may contain errors or omissions.

6. Your content and data

You retain ownership of the consultation audio, transcripts and notes you create ("Your Content"). You grant us a limited licence to host and process Your Content solely to provide the Service. Our handling of personal information is described in our Privacy Policy.

7. Intellectual property

The Service, including its software, design, branding and content (excluding Your Content), is owned by VetlinkPRO and protected by intellectual-property laws. These Terms do not grant you any rights in our intellectual property except the limited right to use the Service.

8. Third-party services

The Service integrates with third parties (including VetlinkPRO, VetlinkPAY and Microsoft Azure). Your use of those services may be subject to their own terms, and we are not responsible for third-party services outside our control.

9. Availability

We aim to keep the Service available and reliable but do not guarantee uninterrupted access. We may perform maintenance, and may modify or discontinue features with reasonable notice where practical.

10. Disclaimers

To the fullest extent permitted by law, the Service is provided "as is" and "as available" without warranties of any kind, whether express or implied. Nothing in these Terms limits rights you have under the Consumer Guarantees Act 1993 or other non-excludable law.

11. Limitation of liability

To the fullest extent permitted by law, VetlinkPRO will not be liable for indirect, incidental or consequential loss, or for loss arising from clinical decisions made using the Service. Our total liability arising out of or in connection with the Service is limited to the fees you paid for the Service in the 12 months before the event giving rise to the claim.

12. Suspension and termination

We may suspend or terminate access if you breach these Terms or to protect the Service or its users. You may stop using the Service and close your account at any time.

13. Changes to these Terms

We may update these Terms from time to time. Material changes will be notified through the Service or by email, and the "last updated" date above will change. Continued use after changes take effect constitutes acceptance.

14. Governing law

These Terms are governed by the laws of New Zealand, and the courts of New Zealand have exclusive jurisdiction over any dispute.
